Role & Team Summary

We are a team of 12 people who are in charge of order management for our internal customers – plants producing filters as well as external ones – companies from heavy duty & industry sector. Each of us is a key contact for several customers which enables us to build a relationship with them and become their reliable partner in order management. Based on high satisfaction rates of the customers we have recently taken up a new responsibility – to resolve complex order issues that require interaction on the management level.

What will be your main responsibilities?

  • Manage complex orders in a timely and accurate manner to meet our delivery cut off times and customer expectations (approx. 60 % of communication in German and 40 % in English).
  • Collect orders received from different customer portals and systems and input into internal systems. 
  • Confirm the receipt of orders to customers and build trust and rapport with them.
  • Proactively update customers on the progress of their orders up to the point of handover.
  • Manage communication efforts as the liaison between fields of Sales, Operations, Export Compliance and Shipping. 
  • Understand order complexities and how to proper drive complex orders downstream applying company’s processes and procedures (If needed, to compare cost vs. benefit for different ways to resolve difficult situation for production and discuss/argue facts with management to resolve the situation).
  • Key contact for customer inquiries, customer complaint resolution process. Work with operations to gain insights into situations and communicate status to customers.
  • Acts as a resource for customers and colleagues with less experience. Explain information; develop skills to bring team members to consensus around topics within field.
  • Participate in various projects or even lead small projects with low risks and resource requirements and thus gain new skills and experience which will contribute to your personal growth.

What do we expect from you?

  • Education: High school/University Degree in relevant field.
  • Experience: Previous experience with customer service is a big advantage.
  • Languages: Active knowledge of German (B2/C1) and English (B2) – one language has to be on an advanced level.
  • Required skills: Good knowledge of MS Office 365 (mainly Excel), knowledge of SAP system is an advantage.
  • Competencies: Ability to focus on detail and customer needs, cooperate and build good relationships, Self-motivated mindset.
