Role Summary
The Planon Rollout Coordinator (PRC) manages and supports the Planon rollout in a defined region and ensures that the locations collect the necessary data efficiently, prepare it in a quality-assured manner, and import it into Planon. As first-level support, the PRC is the first point of contact for local facility management teams and escalates complex issues to the Global PRC.

• Job title: Planon Rollout Coordinator (PRC) – EMEA / APAC / Americas region
• Employment type: 3x Full-time, fixed-term for the duration of the project (internal project role) + two of them permanent after the implementation (as admin)
• Working model: Remote / no travel required
• Department: Corporate Real Estate (Corporate RE) – Planon Rollout
• Line management / escalation: Global PRC (Planon Rollout Project Manager)
• Scope per region: Americas (approx. 20 locations), EMEA (approx. 20), APAC (approx. 10)
Main tasks
1. Regional rollout management
• Coordination of the rollout for all assigned locations in the region
• Tracking of milestones, dependencies, risks, and open issues for each location
2. Weekly location touchpoints
• Conducting 1 hour per location per week (virtually) as a Q&A/working session
• Documenting actions/decisions and consistent follow-up
3. Enablement & first-level support
• Supporting Local FM in the use of training, guidelines, and tools (Corporate RE)
• First-level support for questions about rollout, data collection, data formats, and basic Planon functions
• Escalation to Project Manager IWMS if issues cannot be resolved or global decisions are required
4. Data management & import
• Instructing locations on data collection using provided Excel templates
• Checking data for completeness/consistency/importability
• Execution or support of the import of location data into Planon (with support from Project Manager IWMS if necessary)
5. Status & Reporting
• Maintenance of regional status tracking (tool still open; pragmatic, e.g., Excel/SharePoint/Teams)
• Regular status updates to Project Manager IWMS, including risks, blockers, escalations
Requirements
Must-haves
• Experience in rollout/implementation projects or in coordinating multiple locations/stakeholders
• Very good communication and moderation skills (virtual touchpoints)
• Structured approach to work, ownership, consistent follow-up on actions
• Very good Excel skills (data preparation, plausibility checks, template-based work)
• Very good note-taking and documentation skills
• Very good English (global project environment)
Nice-to-have
• Experience with Planon or comparable IWMS/CAFM systems
• Knowledge of facility management/corporate real estate
• Experience with data quality, data migration, or import processes
• Languages such as Spanish or Chinese
Additional
• One hour per week per location is to be expected for J+F, plus one hour for preparation and follow-up of the appointment and coordination with the IWMS
Project Manager.
→ This amounts to a total of two hours per location per week.
• For 20 locations, this corresponds to: 2 hours/location/week × 20 locations = 40 hours per week per PRC.
• Although the APAC colleague only looks after around 10 locations, they also take on the role of pioneer and central contact person for SDI (especially data import-related activities). In addition, they create and prepare general documentation and project reports.
